How We Helped a Medical Import Business Fine-Tune Their ERPNext Setup
Discover how we helped a medical equipment importer streamline their ERPNext setup by reviewing their procurement, sales, and e-commerce workflows—fixing key configuration issues along the way.
Introduction
Client: Dedicare – Medical Equipment Importer and Distributor
Contact Person: Christoph Teichler, CEO
Scope: ERPNext Review & E-Commerce Setup Assistance
Dedicare is a medical equipment importer and distributor specializing in products like biopsy valves and other essential surgical tools. Their business involves a structured procurement process—importing specialized equipment and selling it both through their e-commerce store and via traditional offline channels.
While the team at Dedicare had already implemented ERPNext to manage their operations, they wanted reassurance that everything was set up correctly. CEO Christoph Teichler reached out to us for a second opinion—specifically to validate their item setup, tax configuration, and the ERPNext e-commerce integration
The Challenge
Christoph had invested a great deal of time configuring ERPNext himself. But like many do-it-yourself implementations, a few small details were standing in the way of a smooth workflow.
He faced two key issues:
- Tax Configuration Confusion: Ensuring that taxes were correctly mapped for imported goods and domestic sales.
- E-Commerce Setup Issues: His ERPNext website wasn’t displaying the items he had added—even though the configurations seemed correct.
Rather than continuing to troubleshoot alone, he wanted someone experienced to verify everything step-by-step and make sure nothing critical was missed.
Our Approach
We scheduled a series of two focused meetings—totaling about 2 hours—over the span of a week. During these sessions, we walked through Dedicare’s entire procurement and selling process, from item creation to order fulfillment.
Here’s what we covered:
- Procurement Workflow Review: We simulated a complete purchase cycle, confirming that item configurations (like units of measure, supplier details, and pricing) were accurate and consistent.
- E-Commerce Setup Debugging: When running a test sale through the ERPNext website, we noticed that items weren’t appearing. After a quick inspection, we discovered the issue: a missing checkbox in the item settings was preventing products from being published to the web shop.
- Understanding ERPNext’s Limitations: During the session, we also uncovered a key platform behavior—ERPNext does not allow group-level item groups to be shown on the website. This insight helped Christoph rethink how his categories were structured.
- Tax Setup Validation: We double-checked tax templates and ensured they were correctly linked to purchase and sales transactions, avoiding future reporting issues.
The Result
After walking through each process together, Christoph had confidence that his ERPNext setup would now support Dedicare’s business smoothly. Sometimes, all it takes is a second set of eyes to turn confusion into clarity.
Conclusion
Not every ERP implementation needs a complete overhaul. In Dedicare’s case, most of the setup was already in place—the real value came from reviewing the small but critical details.
ERPNext is a powerful platform, but its flexibility can sometimes lead to oversight, especially in modules like taxation and e-commerce. That’s where expert guidance can make all the difference.
If you’ve done most of the setup yourself and just need someone to verify and fine-tune your workflows, don’t hesitate to reach out. A couple of well-structured sessions could save you countless hours of future troubleshooting.
