Client Overview
Our client, a legal case management firm, specializes in handling diverse types of cases, ranging from traffic-related incidents to cybercrime and fuel theft. The organization needed a streamlined system to manage these cases efficiently, while also offering tailored digital experiences for their clients, legal staff, and attorneys.
Implementation Objective
The objective was to implement an ERPNext-based case management system where:
- Clients could easily register their cases.
- Staff and attorneys could manage and track case progress.
- Each type of user had access only to the information relevant to their role.
- The system should remain maintainable and scalable, without custom backend coding.
Features Used
Using ERPNext’s low-code/no-code capabilities, we implemented the solution entirely through:
- Custom Doctypes for:
- Park Held (Traffic tickets or accident-related cases)
- Tank Held (Fuel theft investigations)
- Cyber Held (Cyberbullying and digital harassment complaints)
- Role-based Workspaces and Permissions:
- Designed custom Workspaces for:
- Client Users: To register and monitor their case status.
- Attorney Users: To view and work on assigned cases.
- Staff Users: Who needed access to both client and attorney workspaces.
- User Permissions were carefully set for:
- Client
- Attorney
- Staff
- Case Manager
Each user role saw only what was relevant to their responsibility, resulting in a clean and secure interface with no distractions or unauthorized access.
End Result
This implementation resulted in:
- A centralized, easy-to-navigate portal for the entire case lifecycle.
- Clear segregation of roles and permissions without any custom scripting.
- Streamlined onboarding for new users, since each workspace was focused and intuitive.
- A scalable framework where new case types or user roles can be added without major changes to the system.
For example:
- A Client User can only see their submitted cases and their status.

- An Attorney can see the cases assigned to them, with no access to others.

- A Staff User can oversee both sides of the operation for coordination.
