Client Background & Significance

Our client, a legal case management firm, specializes in handling diverse types of cases, ranging from traffic-related incidents to cybercrime and fuel theft. The organization needed a streamlined system to manage these cases efficiently, while also offering tailored digital experiences for their clients, legal staff, and attorneys.

Implementation Objective

The objective was to implement an ERPNext-based case management system where:

  1. Clients could easily register their cases.
  2. Staff and attorneys could manage and track case progress.
  3. Each type of user had access only to the information relevant to their role.
  4. The system should remain maintainable and scalable, without custom backend coding.

Technologies Used

Using ERPNext’s low-code/no-code capabilities, we implemented the solution entirely through:

  1. New Forms for:
  2. Park Held (Traffic tickets or accident-related cases)
  3. Tank Held (Fuel theft investigations)
  4. Cyber Held (Cyberbullying and digital harassment complaints)

  1. Role-based Dashboards, Permissions and Home Screens:
  2. Designed new Workspaces for:
  3. Client Users: To register and monitor their case status.
  4. Attorney Users: To view and work on assigned cases.
  5. Staff Users: Who needed access to both client and attorney workspaces.

  1. User Permissions were carefully set for:
  2. Client
  3. Attorney
  4. Staff
  5. Case Manager

Each user role saw only what was relevant to their responsibility, resulting in a clean and secure interface with no distractions or unauthorized access.

End Result

This implementation resulted in:

  1. A centralized, easy-to-navigate portal for the entire case lifecycle.
  2. Clear segregation of roles and permissions without any custom scripting.
  3. Streamlined onboarding for new users, since each workspace was focused and intuitive.
  4. A scalable framework where new case types or user roles can be added without major changes to the system.

A Staff User can oversee both sides of the operation for coordination.

Conclusion

This project demonstrates the power and flexibility of ERPNext’s low-code/no-code tools. Without writing any backend logic, we delivered a role-sensitive, modular case management solution that serves multiple user types, while maintaining clarity, security, and operational efficiency.

Whether you're in legal services, healthcare, or another industry that demands customized user experiences, ERPNext offers the building blocks to create tailored solutions, without the cost and complexity of heavy development.
